Specimen Accession & Records

Registers every surgical specimen as a tracked record with patient, ordering clinician and facility captured at receipt.

Auto Accession NumberingAssigns a gap-free AP-YYYY-000001 accession number per specimen from a dedicated yearly sequence.
10 Specimen TypesClassifies each case as gross tissue, needle/core biopsy, excisional biopsy, frozen section, three cytology types, autopsy, placenta or bone marrow.
Standardized Anatomic Site CodingRecords the organ site from a 20-value standardized dropdown plus a free-text site field for precision.
Laterality CaptureFlags left, right, bilateral, midline or not-applicable side on every specimen.
Fixative & Container TrackingDocuments fixative (formalin, alcohol, fresh, glutaraldehyde), container type and preservation status for pre-analytic quality.
02

Grossing, Blocks & Slides

Captures gross description, measurements, weight, color, consistency and surface features per examination event.

Sectioning Protocol & Block SummaryDocuments how the specimen was sub-divided and a per-block summary (e.g. A: tumour periphery; B: deep margin).
Photograph & Dictation FlagsMarks whether gross photographs and dictation audio were attached to the examination.
Paraffin Block TrackingCreates lettered paraffin blocks (A, B, C...) per accession, each with tissue description and unique-per-specimen enforcement.
Processing Protocol SelectionAssigns each block a processing protocol: overnight standard, rapid 2h/4h, decalcification or extended fatty-tissue.
Block Lifecycle StatesMoves blocks through queued, embedded, sectioned, archived and discarded states with one-click action buttons.
03

Immunohistochemistry (IHC)

Maintains an antibody catalog with target antigen, clone, vendor and default dilution, seeded with 50+ antibodies.

Pre-seeded IHC PanelsShips 8 ready-made panels (Breast, Lymphoma, GI, Lung, Prostate, Soft Tissue, Melanoma, Triage) each with a clinical indication.
Control Tissue RequirementsRecords the required control tissue and expected positive-control pattern per antibody (e.g. tonsil for CD20).
Lot Expiration Tracking FlagFlags antibodies whose reagent lot expiration must be tracked.
IHC Result ScoringCaptures percent positive cells, 0/1+/2+/3+ intensity and membranous/cytoplasmic/nuclear/mixed distribution per antibody.
Control-Satisfactory GateRecords whether the run control was satisfactory before a result is interpreted.
04

Synoptic Cancer Reporting

Structures the final report into gross summary, microscopic description, special-studies summary and synoptic final diagnosis.

Report VersioningDistinguishes initial, addendum and amended report types with dedicated states.
Draft-to-Signed WorkflowEnforces a draft, pending sign-out, signed lifecycle requiring a final diagnosis before submission and signature.
Electronic Sign-out SignatureCaptures a clinician electronic-signature token (name plus timestamp) at the moment of signing.
Addendum CreationClones a signed report into a fresh addendum draft and flags the specimen as addendum-added.
Amended Report CreationClones a signed report into an amended draft and flags the specimen amended for corrections.
05

TNM Staging Engine

Maintains reusable T/N/M staging records across 17 cancer sites with full AJCC sub-stage granularity.

Auto AJCC 8th Stage GroupingComputes the AJCC 8th-edition stage group from T, N and M values, with tuned logic for breast, lung and colon.
M1-and-Tis ShortcutsAutomatically resolves stage IV for any M1 case and stage 0 for Tis N0 M0 in-situ disease.
Heuristic Fallback StagingApplies a T/N/M heuristic to compute a stage group for sites without a site-specific rule set.
06

Tumour Board

Schedules multidisciplinary meetings by subtype (breast, GI, lung, head & neck, gyn, hematology, general) with chair and attendees.

Meeting LifecycleRuns meetings through planned, in-progress, completed and canceled states with start/complete/cancel buttons.
Case Agenda ManagementAdds specimen-linked cases to a meeting agenda and counts the agenda automatically.
Minutes AttachmentAttaches the signed meeting minutes document to each meeting record.
Tumour Board Case RecordsTracks each presented case with presenter, panel attendees and a rich discussion summary.
Multidisciplinary Decision CaptureRecords the board decision across eight options from surgery and chemo to palliative care, second opinion and referral.
07

Turnaround, Retention & Automation

Computes turnaround days from receipt to sign-out (or now) on every specimen for TAT monitoring.

Overdue Sign-out FlagAutomatically flags specimens received over five days ago that remain unsigned.
Pending Sign-out Escalation CronRuns daily to schedule to-do activities and notify managers of cases pending sign-out beyond five days.
Weekly TAT Digest CronCompiles a rolling seven-day signed-case count and average turnaround, posting a digest to managers.
10-Year Retention DatesAuto-computes a CAP-recommended 10-year retention date on every block and slide.
Retention-Aware Discard GuardRefuses to discard a block still within its retention window without a manager override.
08

Dashboards, Views & Reports

Shows specimens as cards grouped by workflow state with urgency badges and days-in-lab.

Color-coded Specimen ListHighlights urgent, STAT, overdue, signed and canceled cases with row decorations at a glance.
Pivot AnalysisCross-tabs specimen volume by anatomic site, specimen type and month.
TAT Trend GraphPlots turnaround days over receipt date as a line chart for performance monitoring.
Sign-out CalendarDisplays specimens on a month calendar colored by urgency for due-date planning.
Activity ViewPresents specimens in an activity-planner layout for scheduled follow-up tasks.
