Guest Transfers: Airport and station pickups, from the flight to the bill

Airport, station and port transfers booked on the reservation and timed from the flight. The dispatch board gives the day to your drivers, each driver works their transfers from the phone, the guest changes their own transfer until your cut-off, and the transfer goes on the room bill once. Outside transfer companies get a job sheet and one vendor bill.

Guest Transfers in the Hotel Suite: Airport and station pickups, from the flight to the bill
01

Booked with the Stay, Changed by the Guest

On a booking, Book a Transfer takes the arrival and the departure in one go: the place, the flight and its time, the party and the bags. The price shows before you book. The guest gets a link to their own transfer page: the pickup, the meeting point, the driver, the vehicle and its plate, and until your cut-off they change the flight, the time or the party, or cancel. Every change is written on the transfer and gives the desk an activity.

The Pickup Follows the Flight

An arrival is met at the landing time plus the airport's time to come out; a departure leaves early enough for the drive and the check-in. When a flight is late, Flight or Train Changed takes the new time: the pickup moves, the driver and the transfer company are told, and the guest when it moves ten minutes or more. With a flight status key the delays come in by themselves every fifteen minutes; a cancelled flight puts an activity on the desk.

One Board for the Whole Day

The dispatch board shows a column per driver: drag a transfer onto a driver to give it, and the guest receives the driver's name, phone and plate. A transfer sold online is announced to the dispatcher at once, or goes to the airport's usual driver by itself; one nobody drives is reminded two hours before its pickup. Today's Transfers lists the day by pickup time, the day sheet prints it, and Share One Vehicle puts transfers going the same way into one run.

The Driver's Day on the Phone

A driver with a login opens My Transfers on the phone: their own transfers in pickup order, nothing else. Each card has the guest's name and phone, the flight, the meeting point and the name sign full screen. One tap per step: On the Way, At Pickup, Guest On Board, Completed. Every step is time-stamped, and after the free waiting the driver can mark a no-show. No prices and no bookings on the driver's screen.

On the Guest's Bill, Once

A transfer charged to the room goes on the guest's bill once, while the guest is in house: an arrival when it is completed, a departure as soon as it is confirmed. With Hotel Management it is a line of the guest folio under Transport, with the product's taxes; without it, the booking's invoice carries it. A no-show fee follows your policy, and a transfer company's completed transfers become one vendor bill at their cost.

Transfer Companies and Shuttles

Give a transfer to an outside company and the job sheet goes to it by email: the guest, the flight, the meeting point and the name sign. Its usual cost and the commission it pays feed the margin. Changes and cancellations are sent to it too. A shuttle timetable makes its runs three days ahead; guests on the shared shuttle take a seat on a run, up to its seats and bags.

Prices, Places and Reports

Prices per vehicle or per person, for one airport, a zone or anywhere, private or shared, with a minimum and a night surcharge: the most precise line wins. Each airport, station or port keeps its own times and meeting point. The analysis shows transfers, revenue, cost and margin by place, company and driver.
